We believe privacy information should be straightforward. This notice explains what data is involved when you visit the website, access your membership or build with Ghost, and what stays on your own device.
1. Who operates Ghost in the Bot?
Ghost in the Bot is operated by Hodgkinson Publishing Limited, registered in England and Wales under company number 04057471. We are responsible for the personal information we collect and decide how to use in operating this website and membership.

2. Where this policy applies
This policy covers ghostinthebot.com, its public offer pages, the /members/ area, purchases and access arrangements, communications, support enquiries and related Ghost services operated by us. Independent websites created by members and third-party websites have their own responsibilities and privacy arrangements.
3. Information we may collect
The information involved depends on how you interact with Ghost:
- Account and order details: name, email address, business or organisation name, membership status and transaction references, where supplied during purchase or registration.
- Support correspondence: messages, attachments and details you choose to send when requesting help.
- Technical information: IP addresses, device/browser details, access logs and security events collected by our hosting and membership providers when you access their systems.
- Communications: email subscription choices, service messages and related preferences, where applicable.
Payment details entered at checkout are handled by the applicable payment service. We may receive order confirmations and payment-status details; we do not ask you to send card numbers or passwords to the support desk.
4. Your Ghost projects and locally stored work
Clearing browser storage, changing devices or switching browsers can remove local work. Download your project backups and store them somewhere safe. If you choose to send a project file to our support team, that copy is then part of your support correspondence.
Tools that let you publish an independent webpage, report, quiz-like resource or graphic generate files for you to save and host. Once you publish those assets, you decide which hosting, analytics, contact or other services are used by the public asset; you are responsible for providing any privacy notices required for that separate website or activity.
5. Membership accounts and ProductDyno
We use ProductDyno to manage Ghost membership access. ProductDyno processes the personal information and technical data needed to register accounts, authenticate sessions, reset passwords and enforce member access when those features are used. Its own service and privacy arrangements also apply to those operations.
Member login: ghost.productdyno.com/login. Password help: ghost.productdyno.com/forgot-password.
6. Why we use information
- To process orders and deliver the membership or resources requested.
- To manage account access, verify entitlement and protect against abuse.
- To reply to support messages and investigate faults or security incidents.
- To administer purchases, accounting, taxes and legal records.
- To provide service-related notices and, where permitted, relevant product news or marketing.
- To maintain and improve the reliability of our websites and services.
7. Our legal bases
When UK data protection law applies, our legal basis depends on the activity:
- Contract: providing purchased products, membership access and related support.
- Legal obligation: complying with accounting, tax and other applicable duties.
- Legitimate interests: reasonable service administration, site security, prevention of misuse and responding to business enquiries, subject to your rights.
- Consent: where required for optional marketing or non-essential cookies and similar tracking. You can withdraw that consent using the available controls or by contacting us.
10. International processing
Some service providers may process or store information outside the United Kingdom. Where a restricted international transfer is involved, we will use an appropriate legal mechanism where required, such as an adequacy arrangement or approved contractual safeguards. Details relevant to a specific provider can be requested through support.
11. How long information is kept
We retain personal information only for as long as reasonably needed for the purpose collected, including membership administration, customer support, compliance with financial record-keeping duties, security, or resolving disputes. Different records have different legal and practical retention requirements.
Browser-stored project data remains on your device until you remove it, your browser deletes it, or the relevant storage is reset. Downloaded JSON and exported HTML files are controlled by you, not removed automatically when you stop using the membership.
12. Your data protection rights
Depending on applicable law, you may have rights to request access to your personal information, correction, deletion, restriction, portability, or objection to particular uses. You may also withdraw consent where processing depends on it. Some requests have legal exceptions or require identity verification.
You may object to direct marketing at any time. Contact us through Product Support Desk with a privacy enquiry. If you have concerns about our handling of your information, you may complain to the UK Information Commissioner's Office.
13. Emails and member communications
We may send service emails necessary for account access, payment confirmation, support, security or important product changes. Optional promotional emails are handled in line with applicable marketing rules and the preferences available to you. Where an unsubscribe link is supplied, you may use it to stop optional marketing messages.
14. Security and your responsibilities
We take reasonable organisational and technical steps to protect information under our control, but no website or file-storage method is risk-free. Protect your account credentials, use secure devices, sign out after using a shared computer, and keep separate backups of important Ghost projects.
15. Age and children's information
Ghost is designed for adults using business, entrepreneurial or educational resources. We do not knowingly seek personal information from children through the membership.
16. Other sites and member-created pages
Ghost links to independent services and may introduce complementary products. Their websites and privacy practices are separate from ours. If you publish your own generated webpage or collect enquiries through it, you are responsible for deciding how visitor information will be processed and for displaying the appropriate notices and consents.
17. Changes to this policy
We may revise this policy to reflect changes in the website, providers, law or our services. The current version will be published at ghostinthebot.com/privacy.html with a revised date. Where necessary, we will provide additional notice.
18. Contact us
